Schedule, start and join meetings using your Outlook Plug-in

A: Install the Outlook plug-in

Step 1:  Visit the WebEx URL (provided in your welcome email) then select the Log In button in the upper-right corner.

Step 2:  Enter your User name and Password. (Your user name and password are case sensitive, so enter them exactly as they appear on your welcome email.) Then, select Log In.

Step 3:  Close Outlook.

Step 4:  In the left navigation bar, click Assistance.

Step 5:  Click Support and scroll to the bottom of the page.

Step 6:  Find WebEx Integration to Outlook in the Downloads section.

Step 7:  Click Run.

Step 8:  Click Finish.

B: How to schedule and invite participants

Step 1:  In Outlook, schedule a new appointment or meeting in your calendar as you usually would by opening the New Meeting function in Outlook. Enter the meeting topic, attendees, and time.

Step 2:  Click the Add WebEx Meeting on the WebEx add-in at the top of your invite. You will be presented with a pop up window where you set the options for your WebEx meeting. When done with settings, click OK.

Step 3:  Click Send to finish. Outlook then sends meeting invites to all attendees, including a link to join the meeting. Outlook also adds the meeting to your calendar with a link to start/attend the meeting as the host.

C: How to join your meeting

Connect to the web conferencing portion of your meeting:

Step 1:  In Outlook, simply open your calendar invite and click on the enclosed link. You will be asked to enter your name and then you will be taken into your WebEx console.

Step 2:  Participants can join the web conference by visiting the WebEx URL or simply clicking on the URL in their invite, and then entering the meeting number provided to them.

Please note:  First-time users should allow 3-5 minutes to download the WebEx Console plug-in before the meeting.

Connect to the audio conferencing portion of your meeting:

Step 1:  Dial your BT MeetMe / BT MeetMe Global Access dial-in number and follow the voice prompts.

Step 2:  Enter your Chairperson’s Passcode, followed by hash.

Step 3:  Participants follow the same instructions, replacing the Chairperson Passcode with the Participant Passcode, followed by hash.
